Welcome to the Housing Conference Services e-newsletter. Monthly e-newsletters are our way of keeping you informed and updated on what's happening in Residence. It's important to check your email throughout the summer and the academic year; this is how we stay in touch with you.

We need your Photo!

As part of our security protocol, we require you to upload a recent photo of yourself to the Residence Portal. Having your photo in our system allows us to confirm your identity should you lock yourself (and your ID) out of your room. Visit the Residence Portal and log-in to your application: the Photo Upload step can be found within the application. Without an uploaded photo, you will not be able see your room assignment.

Here are some tips regarding your photo:

  • Picture must be of your head and shoulders (just like a passport photo)
  • It must be clear, sharp and in focus
  • Cannot include anyone else in the picture
  • Yes, you can smile!

Room Assignments

Residence Assignments are now available. In order to view your assignment, you must upload your photo (for returning students with a picture on file – this step isn't necessary).

  1. Log-in to the Residence Portal
  2. Select the September 2012-April 2013 term
  3. Select the Photo Upload step and upload a recent photo.
  4. Once your photo has been uploaded, click on the Application Status step; your room and roommate(s) will be noted here.
  5. Contact your roommate(s) (if applicable) through the portal – to ensure your privacy, no email addresses are released. Include your email address in your message so your new roommate(s) can easily contact you.

Please note: allocations are done by lottery. Assignments are final!

Meal Plan

Need to change your Meal Plan Selection?

The deadline to submit your request for change to the MacExpress Centre is 4pm August 15th.

Have Special Dietary Needs?

If you have health or religious dietary restrictions you must contact Hospitality Services for confirmation that your needs can be met. Manager Robert Dew can assist you with information on healthy, safe food choices available. Please email Robert at dewr@mcmaster.ca for further information.

Wondering about Move-in?

First-year move-in is scheduled for September 1st and 2nd. Upper-year students will move-in on Monday, September 3rd. You will be provided with details about your specific date and time later in the summer – watch your email for more info.

Fridges in Residence

Just a reminder – personal fridges are not permitted in residence. Want a fridge in your room? Contact Coldex and make arrangements. Follow the easy steps to Fridge Rentals noted on our website.

Plans Changed? Need to Cancel Residence?

To cancel your residence application, log-in to the Residence Portal and proceed to the Cancel Step. Once completed, refunds will be issued directly to the credit card from which the deposit was paid. Please note cancellations received by 4pm July 6th will receive a partial deposit refund as noted in the application and the Residence Agreement Contract.

Summer Orientation

The 2012 Summer Orientation Program will be taking place from July 3 - July 6, 2012. The focus of Summer Orientation is your academic success; the program features topics that will directly impact your success in the classroom.
