How to Lease at 10 Bay Residence

Who can lease at 10 Bay Residence?

McMaster Community members can lease at 10 Bay, including but not limited to:

  • Students in graduate or postdoctoral programs
  • Students in undergraduate programs
  • Faculty and staff

How to Choose Your 10 Bay Residence Apartment

Step 1: 

  • Log into the Housing Application Portal with your MacID and password. 
  • Select “10 Bay” from the top menu to begin your application.

Step 2. 

  • Complete the information section of the Housing Portal.
  • Choose your apartment:
    • Please take note of your apartment’s occupancy date and lease length during selection.
    • Pay $600 deposit. The deposit is credited to your Student Account on Mosaic and goes towards your 1st month’s rent payment.
  • Housing & Conference Services will be in touch with details regarding your move-in.
  • Your first month’s rent will be due on your Student Account on the first day of the month, less a $600 deposit.

Important Leasing Information

  • For leases longer than 12 months, rent rates may be increased if at least 12 months have passed since the tenant first moved in or since the tenant’s last rent increase.
    • We will provide you with written notice of a rate increase 90 days before they are to take effect.
  • Your lease will include information regarding student conduct rules and regulations. Your lease may be terminated if you fail to uphold your student responsibilities.
  • You are responsible for securing tenant insurance before moving into 10 Bay Residence.

Per your lease, all move-in times at 3:00 p.m., and all move-out times are 11:00 a.m.

Cancellation Policy

  • If you wish to cancel your residence before move-in, the date you cancel will impact what refund, if any, you receive.
  • To cancel, please log in to the Housing Portal and proceed to the Application Status page to complete the online cancellation step.

Requesting a Roommate

If you’re an Undergraduate student and already have someone in mind: 

  • Undergraduate students should complete the profile questionnaire and submit a single roommate request via the Housing Portal. 
  • Both students must: 
  • Be eligible to live at 10 Bay. 
  • Complete the housing application and deposit payment. 
  • Accept each other as roommates in the Housing Application Portal. 
  • Submit the request in the Roommate Request step by searching for the other student’s ID number. 
  • Their friend will receive the request in their Housing Portal communication. They need to log into the Housing Portal “Request a Roommate” step and accept the request. 

Important Notes: 

  • Roommate requests are only valid between students with the same residence admission status (e.g., undergraduates can only match with other undergraduates). 
  • You cannot proceed to select a two-bedroom suite until your roommate accepts your request. If you move to the room selection page before your roommate accepts, you will be selecting a suite without them. Make sure to follow up with your friend before advancing to the room self-selection process. 
  • If your roommate request is accepted and you are the first to advance to the room self-selection page, you will be selecting the suite for both you and your roommate. Be sure to discuss options with your roommate beforehand to ensure the chosen room works for both of you. 
  • Alternatively, you and your roommate can log in at the same time to review the options together before making a selection. One roommate will make the selection for both of you. 

If you don’t have a roommate yet: 

  • Undergraduate students can fill out the profile questionnaire. Responses will be visible during the room self-selection process. 
  • They can skip the Roommate Request step by clicking “Save and Continue”. 
  • If a resident is already reserved in a two-bedroom suite, you can view their profile responses by clicking their name to help determine compatibility. 

Additional Guidelines: 

  • Suitemate options shown during self-selection are based on same gender identity (e.g., female with female, male with male). Same-gender housing is defined as living with a resident who shares your gender identity. 
  • If you’re interested in gender-neutral housing, email resadmissions@mcmaster.ca to discuss available options. Gender-neutral housing accommodates residents of any gender identity. 

If you’re a Graduate Student, Postdoctoral Fellow, Faculty/Staff Member, or MoMac resident and already have someone in mind: 

  • Graduate Students, Postdoctoral Fellows, Faculty/Staff, or MoMac residents should complete the profile questionnaire. 
  • Coordinate with your friend to log in to the Housing Portal at the same time to select from the available two-bedroom suites. 

Important Notes: 

  • Roommate matches can only be made with individuals sharing the same residence admission status (e.g., Graduate Students can only match with other Graduate Students). 
  • If no two-bedroom suites are available, we cannot relocate another resident to accommodate your request. Be prepared to choose a different suite or roommate option.

If you don’t have a roommate yet: 

  • Complete the profile questionnaire. Your responses will be visible during the room self-selection process. 
  • If a bed space in a two-bedroom suite is already reserved, you can click on the resident’s name to view their profile responses and identify a potential match.

Frequently Asked Questions

Application Criteria and Process

McMaster graduate students and upper-year undergraduate students (years 2-5) can request to live at 10 Bay Residence.

10 Bay Residence apartments are offered on a first-come, first-served basis.

10 Bay Residence residence spaces do not require first and last month’s rent. The deposit for all applicants is $600 effective Nov 21.

The deposit is credited to your Mosaic Student Account and goes towards your 1st month’s rent payment. 

 

A discounted rate for entire 2-bedroom apartments are available for couples and families who meet the Family Criteria. Family Discounts are outlined on our Pricing and Floor Plans page.

We can accommodate a roommate request for a Graduate and an Undergraduate student under the following the same conditions as the request a roommate:  

  • Both students must: 
  • Be eligible to live at 10 Bay. 
  • Complete the housing application and deposit payment. 
  • Accept each other as roommates in the Housing Application Portal.

Only the Undergraduate student can fill out the “request a roommate” step as it is only available to undergrad first year students.  

Undergraduate should log-in and search for their Graduate friend’s student ID number to request the roommate.  

Most likely ONLY “undergraduate” rooms will be available to select from. The graduate student needs to understand they will be living on an undergraduate community floor most likely.  

Availability is not guaranteed, as reservations are processed on a first-come, first-served basis. 

  • Billing: Monthly rent is charged directly to your Mosaic Account. 
  • Due Date: Rent is due on or before the 1st of each month. To avoid delays, we recommend making payments early to account for bank transfers and processing times. 
  • Advance Notice: Rent charges are posted approximately 15 days prior to the due date, giving you time to make your payment. An email notification will be sent when your rent is charged and ready for payment in your Mosaic Account. 
  • Overdue Accounts: Late fees and interest will accrue on any overdue rent payments. To avoid additional charges, ensure payments are made on time. 

Online Banking – Bill Payments  

  • Add McMaster University as a new bill (or new payee).   
  • Use your 9-digit student ID# as the requested “account number”.   
  • Payments take 2-3 business days to arrive in your student account. 

 

VISA/MasterCard/Debit  

  • Click “Make a Payment” link on your Mosaic Student Centre.   
  • Follow the directions for making a payment.  
  • A convenience fee of 2.25% will be added to your payment upon confirmation.

It’s every student’s responsibility to regularly review the account to ensure that all charges are as expected, all payments made have been received and all balances are paid in full by the payment due dates. 

Building Amenities & Features

Students interested in 10 Bay Residence parking must visit the McMaster Parking Services website.

To purchase parking, please follow the login steps and proceed by selecting “order permit.” Please be mindful that students must select “Transponder” as their permit category on the appropriate step. Only those who have confirmed their space in our 10 Bay Residence will have the option for this parking lot.

After purchasing a transponder, students must contact the Parking Services at parking@mcmaster.ca office to be added to 10 Bay Residence parking.

10 Bay Residence has 24-hour security on-site, a front desk, and live-in professional McMaster professional residence life staff to support any concerns.

Service animals as defined in McMaster University policy, must be pre-approved to live in 10 Bay Residence by Housing and Conference Services. All other domestic animals or pets are not permitted in 10 Bay Residence as per McMaster policy in order to provide an allergen-free living space for everyone.

10 Bay Residence is part of McMaster’s Smoke-Free Campus, and smoking tobacco is not permitted on McMaster University property. The policy documentation and further FAQs about the Smoke-Free Campus policy can be found on the McMaster web site.

Lease Agreement Terms

Tenants are able to renew a lease provided certain conditions are met and there was no rent payment or conduct issues during the period of the preceding lease.  

  • You will receive a reminder at least 90 days before your existing tenancy will end with a deadline to submit an application for a lease renewal for subsequent terms, but such application is not guaranteed on the basis of previous occupancy.  
  • With the approval of Housing & Conference Services and your faculty, a lease can be renewed for subsequent terms. If your renewal request is approved, you will be required to sign a new lease. Once the lease re-application/lease signing deadline has passed, any apartments for which renewed leases have not been signed will be offered to other applicants. 

If an applicant wants to move-out before their lease end date, they may do so by providing 60 days’ advance written notice to confirm their move-out date.

However, the tenant remains financially responsible for the full Lease Period. If a new tenant moves into the suite, the tenant will not be responsible for rent from that date forward. The tenant must allow Housing & Conference Services to attempt to re-rent the unit and to show it to prospective tenants.

If an applicant’s status is revoked or changes, they will be given notice and will be required to move-out. The applicant will remain financially responsible for the remainder of their lease agreement until a new tenant moves in to the unit.

Provided the person you wish to sublet to meets the eligibility criteria to live at 10 Bay Residence, you can submit an application for sublet to Housing & Conference Services. Tenants who will be living off campus for a minimum of four (4) months (consecutive) but wish to return to their rental apartment at later date may request to sublet their apartment while they are away.

  • sublet occurs when a tenant moves out of the rental unit and lets another student live there for a period of time, but returns to live in the unit before the tenancy ends. If approved by Housing & Conference Services, this is not a lease and does not imply any contractual relationship between Housing & Conference Services and another graduate student who sublets an apartment, and you as the leaseholder are responsible for making all monthly payments for the apartment.
  • Sublettees who are not students will automatically be denied from subletting the unit. Sublet terms are typically approved at 4 to 6 months in duration.
  • Persons who sublet and wish to become tenants must complete the residence application and may or may not be offered a lease.  If they are not selected, they will need to move out at the end of the sublet term.  Their application is treated as all other external applications.
