Return of Campus Events 2021-22

We are excited that events are returning to McMaster’s campus. A gradual, phased in approach for discretionary events is outlined below. This plan will be reviewed and revised as required.

For every event from large conferences to smaller group retreats, we offer a range of space including classrooms, breakout rooms, lecture theatres, and exhibit spaces.

As the province of Ontario continues to reopen, we are pleased to share McMaster’s approach to a return to hosting events and activities complementary to the University’s academic mission and operations.

Key Information

  • All events need to comply with McMaster COVID-19 requirements and Provincial regulations (passive screening, contact tracing, masking indoors, physical distancing, etc.) Questions regarding what event measures need to be in place should be directed to EOHSS for risk management guidance. Conference & Event Services (CES) does not make decisions on event health & safety procedures.
  • McMaster will clarify/adjust gathering limits and event regulations based on provincial/local regulations and changing campus dynamics
  • As of September 7, 2021 McMaster University will implement a mandatory COVID vaccination policy for all students, faculty, staff, and visitors attending a McMaster campus or facility.
  • All event organizers must be aware of the McMaster Vaccination Mandate for Contractors, Visitors and Volunteers

Phase 1: August 3 to September 4, 2021

We welcome the following groups to book events on campus:

  • Faculty, Employee, and Welcome Week Student Leader Training
  • Medical/Health Care Related Training (i.e., First Aid, etc.)
  • Athletics & Recreation Varsity Athlete Training
  • Campus Filming Activities
  • Photography Permits
  • Orientation & Transitional Focused Events (Faculty of Health Sciences Only)

Approval Requirements:

  • Submission of completed EOHSS COVID SOP Template *
  • Submission of a letter of approval by divisional AVP/Dean (or delegate)
  • Submission of the Faculty/Department Space Request Form here with the aforementioned documents enclosed to the form. Requests without the above requirements will not be accepted. Please allow up to 10 business day turnaround for your request to be processed.

*Exception for Faculty of Health Sciences utilizing internal EOHSS consult.

Max Gathering Size Indoor/group: 25 people (multiple concurrent groups allowed) Max Gathering Size Outdoor/group: 100 people (multiple concurrent groups allowed)

PHASE 2/Welcome Week: September 5 to September 8, 2021

In addition to phase 1, advanced access will be open for Welcome Week Advisory Committee Approved* Welcome Week Events, which includes McMaster Welcome September 1st, and MSU Sidewalk Sale September 4th.

*Approval Requirements:

  • Student Success Centre will review official Welcome Week space requests (as per Welcome Week Advisory Committee) and approve before confirming booking with Conference & Event Services

 

Max Gathering Size Indoor/group: 25 people (multiple concurrent groups allowed) Max Gathering Size Outdoor/group: 100 people (multiple concurrent groups allowed)

Phase 3: September 9 to October 1, 2021

Important: Registrar-controlled academic spaces are now available to book until December 22, 2021.

We welcome the following groups to book events on campus:

  • Athletics & Recreation Varsity Athlete Training

We welcome the following groups to book events on campus:

  • Faculty, Employee, and Welcome Week Student Leader Training
  • Medical/Health Care Related Training (i.e., First Aid, etc.)
  • Athletics & Recreation Varsity Athlete Training
  • Campus Filming Activities
  • Photography Permits
  • Orientation & Transitional Focused Events (Faculty of Health Sciences Only)
  • Recognized Campus Groups Events (on campus)
  • Accredited External Organizations (in Faculty or Department controlled spaces, not controlled by CES)

PLUS

  • Accredited External Organizations
  • Non-Accredited Organizations (to occur only in McMaster University Student Centre Marketplace)

  • Accredited External Organizations
  • Non-Accredited External Organizations (all university facilities)

PLUS

  • Public lectures and presentations that are not part of an academic program
  • McMaster Recruitment Activities

Approval Process for Recognized Student Groups:

User Group Definitions

Events/Activities which are complementary to the University’s academic mission and operations.  

This includes University and student-organized events both within university facilities and off campus, and events at McMaster that are booked and hosted by outside organizations (i.e., tournaments, conferences, public speakers, etc.). This does not include academic events but does include events which are educational in nature.  

Space access of groups will continue to be defined by those included in Policy on the USE of University Facilities for Non-Academic Purposes, as follows:

  • Recognized Campus Groups
    • Recognized Student Groups, Departments, Faculties, Institutes, Associations, Unions
  • Accredited External Organizations
    • Those non-profit organizations with direct relationship of an educational, cultural, professional, or social service nature
  • Non-Accredited External Organizations
    • All other organizations that pay a facility rental fee

Terms & Conditions

  • Pending changes to McMaster and/or Provincial regulations spaces to accommodate revised capacities will be subject to availability and will require a minimum 5 business days to process
  • Registrar-controlled academic spaces are now available to book until December 22, 2021.
  • Events with food & beverage should be hosted outside and/or in a manner which complies with university regulations related to indoor mask requirements.

  1. All visitors must follow McMaster’s COVID-19 Protocols, which include showing proof of full vaccination before attending a McMaster property. See steps to submit proof of vaccination.

Leisure activities provide the necessary break from any conference. Come out and enjoy our indoor and outdoor recreational facilities, as well as The Pulse, an active living facility with state-of-the-art equipment. If your group would like exclusive use of an area (for example, gymnasium, swimming pool, the outdoor track or playing fields), you can rent these facilities by the hour or by the day.

In addition to above, we can arrange for your group to try out Canada’s first Alpine Tower Challenge Course, located behind the Ivor Wynne Centre. Outdoor wilderness activities can also be arranged, just let us know and we’ll make it happen!

Stay Amongst the Stars Visit W.J. McCallion Planetarium

McMaster is excited to offer a Planetarium where images of stars, planets, and constellations are projected on the inner surface of a dome. Our private shows are geared toward educating the audience about the earth and its relationship to the solar system and the rest of the universe. Shows are primarily facilitated by graduate students and postdoctoral fellows of the Department of Physics and Astronomy at McMaster and occasionally by faculty.
